For Australian practices

Send patient records and sensitive documents by email, safely

SendRight password-protects documents with AES-256, splits big files to fit email, sends them from your own email account, gives the password a different way and records the disclosure. Built for GP and medical practices, and for law and accounting firms.

  • AES-256 encryption on every file before it leaves your PC
  • Runs on your PC. Documents are never uploaded unencrypted.
  • Built around the Australian Privacy Principles and RACGP email guidance

How it works

From exported file to recorded disclosure in a few clicks

A step-by-step wizard your front desk can follow without training. Each step checks what matters before it lets you move on.

  1. Add the files

PDFs exported from your clinical or practice software, Word, Excel and PowerPoint files, photos and scans, or anything else.

  2. Protect them

Each file gets AES-256 password protection the best way for its type, so most open with nothing to install.

  3. Check the recipient

Enter and check the address. SendRight works out how big each email can be for both email systems and splits big files to fit.

  4. Send

From your Microsoft 365 or Google account in one click, or one email at a time in Outlook or your email app.

  5. Give the password separately

By an expiring link in a separate email or in Signal or WhatsApp, a text message for patients, a phone call or in person. Never in the same email.

  6. Clean up and record

Permanently delete the copies, then paste a ready-made disclosure record into the patient or client file.

More about each step

What it does

Everything a sensitive email needs

Email is often the only way to reach a patient, a specialist's rooms or a solicitor. SendRight makes it a safe one.

Any file, protected the right way

PDFs get a PDF password, Word, Excel and PowerPoint files get Office's own password, photos and scans become one PDF, and anything else goes in an AES-256 zip.

Big files split to fit

SendRight checks your email provider and theirs, then splits PDFs by pages into parts that get through, with room to spare. Nothing is compressed, so X-rays and scans keep full quality.

Sends from your own email

Connect Microsoft 365 or Google and SendRight sends every part for you, with copies in your Sent folder. Or keep using Outlook, one email at a time.

Password by another route

An expiring secure link by separate email (the default for insurers and solicitors) or in Signal or WhatsApp, a text message to a patient through our Australian SMS gateway (add-on), or a phone call with a read-out spelling.

A disclosure record, ready to paste

Who it went to, why it could be released, how it was protected and how the password was given, for the patient's or client's file.

A privacy guide for front-desk staff

The Australian Privacy Principles and RACGP guidance applied to the front desk, with a checklist, scripts and breach steps. Staff confirm it each year.

Nothing left lying around

Copies are kept in one folder per document, and the Clean up step deletes them permanently once they've gone.

Runs on your PC

Everything happens on the computer. No documents are uploaded to SendRight or CSG, and the app has no tracking or analytics.

Questions

Frequently asked questions

Are our documents uploaded to SendRight or Computer Services Group?

No. SendRight runs on your PC. Documents leave it only in the emails you send, and if you connect Microsoft 365 or Google, those go straight from your PC to Microsoft or Google. Only the password takes another route, if you choose a text message or a secure link.

What encryption does SendRight use?

AES-256 for every type of file: the PDF standard's AES-256 encryption, Microsoft Office's own agile encryption (AES-256 with SHA-512) for Word, Excel and PowerPoint, and AES-256 zip encryption for anything else. Each result is checked to open with the password, and only with it, before it's saved.

Do recipients need special software?

Not for PDFs, photos and scans (made into a PDF), or Word, Excel and PowerPoint files: they open in the usual apps, on phones too, once the password is typed in. Zips open with a double-click on a Mac, but Windows needs the free 7-Zip, so SendRight uses zips only for other kinds of file, or if you choose one zip for everything.

How does the recipient get the password?

Separately from the files, never in the same email. For insurers, solicitors and other organisations, a secure link in a separate email that stops working after a set number of views or days, so their staff don't have to give a personal mobile. For patients, a text message (SMS add-on). The same link can also go by Signal or WhatsApp, and you can give it by phone or in person. The password itself never goes in an email or a chat.

What happens with very large files?

SendRight works out the largest email that both your email system and the recipient's will accept, allowing for the extra size email adds, and splits PDFs by pages into parts that fit. Each part goes in its own email with the same password. Nothing is compressed.

Does it work with Microsoft 365, Gmail and Outlook?

Yes. Connect your Microsoft 365 or Google account and SendRight sends the emails itself. You can also use Outlook (classic) or the new Outlook, or copy the text and attach the files by hand in any email app.

Does SendRight replace secure messaging?

No. Where the recipient can receive secure messaging, use it. SendRight is for when email is the next most suitable option, which is how the RACGP's guidance on email in general practice frames it.

Does SendRight make our practice compliant with the Privacy Act?

No software can do that by itself. SendRight helps with the parts that happen when a document leaves the practice: reasonable security for the file (APP 11), checking the recipient, recording the disclosure, and training front-desk staff. Your practice's policies and decisions about who may receive records still apply.

What does it run on, and what does it cost?

Windows 10 and 11 (64-bit), with nothing else to install. A Mac version is planned. SendRight is free during the preview. The SMS add-on is a paid subscription.
