Secure email for GP and medical practices
Send patient records to patients, specialists, hospitals, insurers and solicitors, protected with AES-256 and recorded in the patient's file, when secure messaging isn't an option.
Requests reception handles every week
- A patient asks for their results, letters or full record.
- A new practice requests the record on transfer of care.
- A solicitor, insurer or WorkCover case manager sends a signed authority.
- A specialist's rooms or a hospital without secure messaging needs a referral history.
- A subpoena or police notice arrives.
SendRight asks why each release is allowed, makes sure third-party releases are password protected and approved, and keeps a record for the file.
Built around privacy guidance for health
- APP 11: reasonable security, with AES-256 encryption and the password sent by a different route.
- APP 6: the reason for each release is chosen and recorded.
- RACGP guidance on email: secure messaging first, then encrypted email to a checked address.
- Notifiable Data Breaches: the staff guide covers what to do if something goes to the wrong person.
- NSW practices: the guide includes the Health Privacy Principles.
Made for the front desk
Staff privacy guide
The rules for sending patient records, a before-you-send checklist, consent scripts and breach steps. Every staff member confirms it once a year.
Big scans and X-rays
Multi-page scans and imaging reports are split by pages to fit both email systems, with no loss of quality.
Password by SMS
Text the password to the mobile number from the patient file, with a delivery receipt. Never in the email.
Questions from practices
Can we email patient records under the Australian Privacy Principles?
The Privacy Act doesn't ban email. APP 11 requires reasonable steps to protect health information, and APP 6 covers who it may be disclosed to. The RACGP advises using secure messaging where available, and taking care with email when it isn't, such as encrypting attachments, checking the address and getting the patient's informed consent where needed. SendRight is built around those steps.
Does SendRight work with our clinical software?
It works with the PDFs you export from any clinical software, such as Best Practice, MedicalDirector or others, without connecting to it. It never changes the patient's record.
What should we record after sending?
SendRight produces a disclosure record to paste into the patient's file: who it went to, why it could be released, how it was protected and how the password was given. Fill in anything left in square brackets.
